What do I need to send a group offer?

If you want to be able to send group offers you need to:

1. Request the activation to your account manager
2. Create the needed configuration on your extranet:

You need to configure 3 parts:

• Room configuration: HERA is allowing you to use any room for your group request, you just need to access the specific room and activate it for groups, Once you do it you will be able to provide some details just for groups like the internal names or the public name to be sent to your customers as well as a different picture. 

• Group Mealplan: As HERA is not checking your booking engine for groups, you need to specify the meal plan that you are offering on each offer. This information needs to be provided on each language that you want to use this functionality. The details that you need to provide are:
  • Meal plan: on this drop down you will assign one of the meal plan types: room only, breakfast, half board, full board or all inclusive
  • Language: select the language you are setting up
  • Name: This name will be displayed on the template as tittle of the meal plan
  • Meal Plan Description: Add a description explaining what it is included.

• Group Policies Despite of doing the set up at this step you will be able to modify this text each time you are running the addin. You need to create one for each language you will use it for and you can create as many as you need. The fields you need to complete are:
  • Language: select the language you are setting up 
  • Policy Name: this field is internal, it will be displayed on the addin to be selected but the customer will not see it.
  • Group Cancellation Policy Text: Specify the cancellation policy
  • Group Payment Policy Text: Specify the payment policy 

Once you finish this set up you will be able to use the group functionality. Remember that inside your hotel configuration you can set up for each property that you are managing how many rooms do you consider a request to be a group, by default is 11 rooms.
